These are the rules that keep CycleBar Ashburn running smoothly so every rider gets the experience they came for. Four short sections cover class attendance, membership cancellations, safety, and freezes. The front desk can walk you through anything that isn't clear.
A $15 late cancellation fee applies to any booking canceled within 12 hours of the class start time. Members get one free cancellation per month for emergencies: let the studio know before class starts to have the fee waived, and if class has already started the fee is refunded as an account credit you can use for anything except membership dues. No-shows are charged $20, with no exceptions. A shoe rental fee applies to ClassPass and insurance riders (Wellhub, Renew, and similar), package holders, and drop-ins; first-time paid riders get this fee waived, though that waiver does not apply to ClassPass or insurance riders. Members arriving more than 5 minutes late will not be admitted to class, and first-time riders arriving after class start will not be admitted.
Cancellations require 30 days written notice, submitted in the studio using a cancellation form. Once the form is signed, management processes the cancellation to end the membership 30 days from that date. You are responsible for the very next invoice, and no further membership dues after that. Virginia law adds rights on top of these terms: you can cancel a new membership within three business days for a full refund, and you can cancel if you become unable to use the studio for 30 or more days, if we relocate too far or close, or in the event of a member's death.
Riders under 18 need parental approval to ride. All riders must complete a liability waiver, which lives in your ClubReady member profile; we can send a link to complete it online or collect a signature at the front desk. All riders must have a photo on file. It is your responsibility to tell staff about any significant medical needs or restrictions, such as light or noise sensitivity. Both staff and members are expected to be polite and appropriate at all times.
Recurring memberships can be frozen for up to 2 months at a time. A frozen membership is charged a $15 monthly fee starting the first day of the freeze. A member on freeze cannot cancel during the freeze: the membership has to be unfrozen and dues charged first, and cancellation can then start with that payment acting as the past invoice. Any exceptions (major illness or injury, temporary relocation, and the like) are granted only at the discretion of the management team.
